Sometimes, transactions recorded in DealPOS have not yet created journals properly in Books App. This condition may occur due to synchronization issues or changes to accounting configurations.
To solve this problem, Books App provides a Generate Journal feature that allows users to manually recreate journals based on existing transactions. This feature is also useful when there are changes to the Chart of Accounts (CoA) mapping, ensuring that the generated journals follow the latest accounting configuration.
I. How to Generate Journals Manually
Follow the steps below to manually generate journals in Books App.
Step 1. Login to Books App
Open the books.dealpos.app page and log in to your account.
Step 2. Open the Generate Journal Menu
After successfully logging in, go to the Generate Journal menu. Inside this menu, several transaction types are available:
Customer Invoice
Supplier Bill
Shift
Adjustment
Join Invoice
Join Bill
Select the transaction type according to the journal you want to generate. As example we use Customer Invoice transaction:
Step 3. Select Transactions
Tick the checkbox for the transactions that need to be regenerated. After selecting the transactions, click the Generate Journal button.
Step 4. Journal has been Generated
Once the process is completed, the journals can be reviewed from Journal → Manual Journal. The newly generated journals will be displayed in this section.
II. When Should You Use Generate Journal?
The Generate Journal feature can be used in the following scenarios.
POS Transactions Do Not Create Journals Properly
If transactions have already been recorded in DealPOS POS but the journals are missing or were not created correctly in Books App, you can regenerate them automatically using this feature. This process helps ensure that accounting records remain accurate and synchronized with transaction data.
Updating Journals After Changing CoA Mapping
If you modify the Chart of Accounts (CoA) mapping configuration, previously generated journals may no longer follow the latest setup. By using the Generate Journal feature, the journals will be recreated based on the newest CoA mapping configuration, allowing your accounting records to stay consistent with the latest settings.
