Migrate or Create New Journal Tag In Books App

Journal Tags in the Books App are used to organize Chart of Accounts (CoA) by outlet so accounting reports can be reviewed per outlet. Creating Journal Tags allows users to manually define outlet-specific tracking when needed. Migrating Journal Tags automatically creates corresponding tags in the Books App based on the existing outlet list in the POS.


I. What is Journal Tag

A Journal Tag is a property in the Books App used to categorize accounting transactions under specific Chart of Accounts (CoA) contexts, such as business outlets or locations. By applying Journal Tags, users can filter Balance Sheet and Profit & Loss reports to view financial data for a specific outlet without creating separate accounts. This helps maintain a clean CoA structure while still allowing detailed, outlet-level reporting.

Important note: Journal Tags do not change account balances; they only affect how data is grouped and filtered in reports.


II. Create Journal Tag

Creating a Journal Tag is recommended when you need to manually define outlet or category tracking in the Books App.

Step 1. Go to Accounting Setup, then click Tag.

Step 2. Click Add New Tag to create a new Journal Tag.

Step 3. Fill in the Tag properties, such as the tag name and description, then click Submit.

Step 4. The Journal Tag is successfully created and can now be applied to relevant transactions.


III. Migrate Journal Tag

Migrating Journal Tags is used to automatically create Journal Tags based on outlet data from the POS system.

Step 1. Go to Accounting Setup, then click Tag.

Step 2. Click Migrate Tag.

Step 3. Click OK to migrate outlet data as Journal Tags into the Books App.

Step 4. The Journal Tags are successfully migrated and ready to be used for outlet-based reporting.
