Configuring the Automatic Journal Number Generator in Books App Setup

The Books App allows you to configure automatic journal numbering to match your organization’s numbering format. Through the Journal Number settings in DealPOS, you can define prefixes, formats, and reset periods for journal numbers. This configuration helps ensure consistency across accounting records. This article explains how to configure journal numbers and how they are generated automatically.


I. Journal Number Configuration

Step 1. Go to accounting setup and choose Journal Number

Description

Journal Number Reset Range

Defines how often the journal number sequence is reset. You can choose to reset the number by Day, Month, Year, or set it to Never to continue the sequence without resetting.

Format

Determines the date format used in the journal number. This format controls how the year and month appear in the number, such as XXMMYY/MMYYXX/YYMMX.

Prefix

A custom code added at the beginning of the journal number. This can be used to identify the journal type or department, based on your organization’s needs.

Separator

The character used to separate different parts of the journal number, such as a dash (-), slash (/), or dot (.).

Digit Behind Number

Specifies the total number of digits used for the running number at the end of the journal number. The system will automatically add leading zeros if needed.

Last Number

Shows the last generated running number. This value is automatically updated and used as the reference for the next journal number.


II. Automatic Journal Numbering

Step 1. Go to Journal, choose Manual Journal, and click Add

Step 2. Journal Number generated automatically
