Maintaining a lean inventory database is essential for any growing business, but you may find yourself stuck when a 'cannot delete' error blocks you from removing a discontinued item. This happens because most systems prioritize data integrity; as long as a single invoice, sale, or stock movement exists, the product is locked in place.
To successfully remove these items, you must first work backward to identify and clear the 'paper trail' associated with them. In this guide, we’ll walk you through the process of auditing, unlinking, and deleting historical transactions so you can finally hit the delete button on the product itself.
I. Verify Product History
Step 1. Navigate to the Products Menu
Step 2. Search the Product
Select and then click in the product variant's name
Step 3. Click Edit then Select History Tab
Before deleting a product you must ensure that all history from Sales to Parked Order has been deleted
II. Delete Product History
Step 1. Click on each History tab
You have to ensure that there are no history in each tab
If there are a transaction history you will see the invoice number as the following screenshot below
Step 2. Void and Erase Transaction History
Click the invoice number
Click Void button and then click OK
Click Erase button to permanently delete it and then click OK
Step 3. Delete the Product
Once you are done navigate back to the Product tab and now you can delete the product
